Gallery Manager

The Glass Station Studio & Gallery is seeking a highly organized, detail-oriented Gallery Manager to oversee the operational systems that keep our gallery running smoothly.

This role is ideal for someone who enjoys building order, maintaining accurate systems, and supporting a creative business from behind the scenes.

Position Overview

The Gallery Manager is responsible for maintaining the operational integrity of the gallery. This includes inventory management, product cataloging, POS administration, artist/vendor coordination, and internal workflow organization.

While this position works closely with the sales team, the primary focus is systems, organization, and accountability, ensuring the gallery operates efficiently and professionally.

Key Responsibilities

Inventory & Product Management

  • Receive incoming artwork from outside artists as well as studio production items

  • Photograph new work and maintain organized digital image files

  • Create and maintain accurate product listings in the POS system

  • Track inventory levels and coordinate reorders or restocks

  • Conduct periodic inventory spot checks and annual reconciliations

Artist & Vendor Coordination

  • Communicate with artists regarding shipments, restocks, and product details

  • Maintain accurate artist records and pricing structures

POS & Systems Management

  • Maintain product database accuracy in the point-of-sale system

  • Troubleshoot inventory or listing discrepancies

Operational Support

  • Manage staff scheduling and shift coverage

  • Scheduling and executing social media and email campaigns with assets and concepts designed by sales lead

  • Oversee daily operational workflow and task completion

  • Address day-to-day operational issues as they arise

  • Assist ownership in implementing operational improvements

Qualifications

  • Exceptional attention to detail and organizational skills

  • Strong computer skills and comfort working with databases or POS systems

  • Ability to manage multiple systems and tasks simultaneously

  • Excellent communication and follow-through

  • Self-directed and dependable

  • Must be able to go up and down stairs multiple times a day

  • Must be able to lift 40 lbs

Preferred but not required

  • Experience working in a gallery, retail environment, or inventory-driven business

  • Photography experience (product photography helpful but not required), familiarity with Photoshop and photo editing

  • Familiarity with Shopify or other POS systems, Later or other social media management systems, Google WorkSpace, Klayvio or other CRMs.

Schedule & Compensation

  • Full time, permanent, some weekend hours may be required.

  • $22-$27/hour DOE

Shipping & Fulfillment Coordinator (Part-Time, Flexible Hours)

The Glass Station Studio & Gallery is seeking a detail-oriented Shipping & Fulfillment Coordinator to join our team. This role is responsible for carefully packing and shipping handmade glass artwork to collectors and customers.

Because we work with fragile, handcrafted objects, this position requires patience, attention to detail, and a strong sense of responsibility.

This is a flexible, variable-hour position that works closely with our Gallery Manager to ensure orders are shipped accurately and safely.

Responsibilities

  • Pack and ship wholesale, online and in-gallery orders
  • Carefully prepare fragile glass items for shipment
  • Generate shipping labels and ensure tracking information is sent to customer
  • Maintain an organized packing station
  • Monitor shipping supplies and notify management when inventory is low
  • Assist with occasional artist shipments or exhibition shipments

Schedule

This position has flexible hours based on shipping volume.

Typical patterns include:

  • Fewer hours during winter months 
  • Moderate shipping activity in spring and summer 
  • Increased hours during the holiday season 

Qualifications

  • Strong attention to detail
  • Comfortable handling fragile objects
  • Reliable and organized
  • Able to work independently
  • Previous packing/shipping experience is helpful but not required
  • Ability to lift 50 lbs
  • Ability to walk up and down stairs multiple times a day

Compensation

  • $18/hr
